Introducing the Spa Planner

This is one of our most requested enhancements, allowing hotels of any size to manage their spas, spa services, spa staffing and appointments. It's all connected to Planniac's core system for managing other activities like transfers, rentals and tours.

The Why-To

If your hotel's spa is one of the key features at your property, you may have already looked for a spa appointment system that integrates with your PMS. There might be a couple of others, but Planniac adds a few key features that we believe are unique. Like managing all your guest's activities in one place – not just the spa, but tours, transfers, equipment rentals and concierge services in general. And giving your guests a reliable, real-time itinerary so they can always be prepared for every experience you've arranged. That's what Planniac is about.

The How-To

Set up your team members

In Planniac's main system you'll control who provides services, including those for the spa. You can also control who has access to the Spa Planner and who can create or manage bookings.

Set up the spa

The Admin tools in the Spa Planner let you add or edit general spa hours & settings for rooms, treatments, and billing. You can also create one-time or weekly schedules for your spa staff.

Flexible ways to take bookings

You can take bookings at the spa, hotel reception, or via reservation add-ons. You can also use your own Online Offers page generated by Planniac to upsell spa services or any other experiences you'd like to promote.

Frequently asked questions

How does it handle outside guests?

You simply create a guest within the Spa Planner or within Planniac. After that, the guest is selected for activities the same way as a hotel guest. And better still, you can charge the outside guest's activities to a Cloudbeds house account which is like a mini-folio for outside guests. 

Can I use the Spa Planner on Planniac without purchasing the whole thing?

You can add the Spa Planner to any Planniac subscription. We have cost efficient packages that bundle Spa Planner together with all the other Planniac features so you can take advantage of the whole suite.  There's one for smaller hotels with less than 25 rooms and there's another for hotels with room counts up to 70. Do I have to have a Cloudbeds account to use the Spa Planner?

Yes. We selected Cloudbeds as the PMS platform that Planniac links to.  It's stable, reliable, and has a history of working with small and medium sized properties which is our sweet spot. 

Do you provide support assistance for this?

Absolutely. With Planniac you get AI support access around the clock, and we can usually respond in person quickly when you need some human support. We'll also help you with setup and offer optimization calls at any time.

How do I bill guests?

Since the Spa Planner is part of Planniac, it connects beautifully to Cloudbeds. So you can take advantage of the guest folios and outside guest house accounts and use Cloudbeds for guest billing. If you accept cash or credit cards, your staff can easily mark services as paid by those other methods. And it's flexible, so you can add as many other types of payment for tracking and accountability.
